TelNova Solutions ("we," "us," or "our") operates Kool Nova KDS, a kitchen display system SaaS for restaurants ("Service"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Service.

• Account information: Name, email address, restaurant name, and credentials you provide when creating an account.
• POS integration data: Merchant IDs, OAuth tokens, and order data received from connected point-of-sale systems (e.g., Clover). This data is used solely to display orders on your kitchen screens.
• Order data: Order numbers, item names, modifiers, channel (dine-in, takeout, etc.), and timestamps. We do not store payment card information.
• Device session data: Tablet identifiers, PIN hashes, and session activity logs for authentication purposes.
• Usage data: Log files, IP addresses, browser type, and pages visited, for security monitoring and service improvement.

2. How We Use Your Information

• To provide, operate, and maintain the Service
• To display real-time kitchen orders on your authorized devices
• To authenticate kitchen staff through PIN-based device sessions
• To send service-related notifications (e.g., integration errors, account alerts)
• To detect and prevent fraud and unauthorized access
• To comply with legal obligations

3. Clover POS Integration

When you connect Kool Nova KDS to your Clover account, we receive access to order data and merchant information as authorized by you during the OAuth consent flow. We use this data only to:

• Display orders on your kitchen display screens
• Route order items to the appropriate kitchen station
• Maintain order history within your account

We do not sell, rent, or share your Clover data with third parties. OAuth tokens are encrypted at rest using AES-256-GCM encryption and are never exposed in logs or to third parties. We request only the minimum permissions required: Merchant (read), Orders (read), and Inventory (read).

4. Data Sharing

We do not sell your personal information. We may share data only in these circumstances:

• Service providers: Infrastructure providers (e.g., server hosting) who process data on our behalf under confidentiality agreements.
• Legal compliance: When required by law, court order, or to protect the rights and safety of our users.
• Business transfer: In connection with a merger, acquisition, or sale of assets, with appropriate notice to you.

5. Data Security

We implement industry-standard security measures including:

• AES-256-GCM encryption for all POS credentials stored in our database
• TLS 1.3 encryption for all data in transit
• PIN hashing using Argon2id for kitchen device authentication
• JWT-based session management with short-lived access tokens
• Regular automated backups with offsite storage

No method of transmission or storage is 100% secure. We strive to use commercially acceptable means to protect your data but cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Order data is retained for 12 months by default. You may request deletion of your data at any time by contacting us at the address below.

7. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data ("right to be forgotten")
• Object to processing or request restriction of processing
• Data portability
